How to set up your AI dispatcher for airport runs in 10 minutes

A step-by-step guide to getting your DyspatchAI business number, writing your first Policies and approving your first AI-priced airport trip.

Most small operators already have a booking process. It's just spread across a personal phone, a notebook, a few group chats and a lot of memory. This guide walks through moving the airport part of that process into DyspatchAI, so the next "can you get me from JFK tomorrow?" text gets read, priced and drafted for you.

You'll need three things before you start:

  • Your current airport rates, even if they only live in your head
  • A list of your vehicles (and chauffeurs, if you have any)
  • A way to reach your regular clients, so you can share your new number

Step 1: Get your business number

Create your account and you get a DyspatchAI business number and a booking link. Share both with your clients. They don't need to download anything: they text your number or book through your link.

DyspatchAI doesn't connect to your Gmail, Outlook or existing phone line. Every client text and booking arrives in the AI inbox. The AI reads each message and pulls out the pickup, drop-off, date and time, flight number, passenger count and bags.

Step 2: Write your first Policies

Policies are the rules the AI follows when it prices a trip. Write them in plain English. You don't need a pricing spreadsheet to start. A few lines covering your most common airport runs is enough:

  • "Sedan from JFK to Manhattan is my standard airport rate. SUV is higher."
  • "Use an SUV when there are 3 or more checked bags."
  • "Meet domestic arrivals 30 minutes after landing, international 60 minutes."
  • "Add 20% gratuity unless the client has a corporate account."

You can add detail later. Our Policies guide covers how to write rules the AI applies consistently.

Step 3: Add your vehicles

Add each vehicle with its class (economy, black car, SUV, limo, Sprinter or luxury) and capacity. The AI uses this to recommend the right vehicle and to avoid quoting a class you don't have available.

If you run a fleet, add your chauffeurs too. They'll receive trip assignments and updates once you start dispatching from the board.

Step 4: Approve your first AI quote

Text your DyspatchAI number from another phone, written the way a real customer would:

hey need pickup at LGA friday, landing around 4, 2 people, going to Brooklyn

Within the AI inbox you'll see the extracted trip details, the Policies that were applied, a priced quote with line items, and a drafted reply. Edit anything you'd change, then approve. The trip lands on your dispatch board and, if there's a flight number, flight tracking starts automatically.

What to do next

  • Add the rules you find yourself correcting most often to Policies
  • Invite your dispatcher or chauffeurs (Fleet plan)
